For CNC job shops and machine shops

Stop losing machining jobs to quotes nobody followed up on

Lunan sets up follow-up and won/lost tracking around the quoting tool, email and job system you already use. AI drafts the chasing; your estimator approves every message and every price.

What gets in the way

Quotes go out and nobody chases them

You send the quote, the shop gets busy, and two weeks later the job went to the next shop on the buyer's list. Follow-up depends on someone remembering, and the main quoting tools don't advertise doing it for you.

You don't know why you lose

Was it price, lead time, capability or no answer at all? Without a reason on every closed quote, you can't tell a pricing problem from a scheduling one.

The tools don't talk to each other

RFQs arrive in email, quotes live in a quoting tool or spreadsheet, and unless an integration is set up, won work gets retyped into JobBOSS, E2 or ProShop. Every hand-off is a place for a quote to slip.

What we set up

Quote follow-up and won/lost tracking

From your list of sent quotes, AI drafts a short follow-up on the schedule you choose, notices when the buyer has already replied, and reminds the person who owns the quote. When a quote closes, it reads the reply and your notes and tags the reason: price, lead time, capability or no answer. A person sends every message and checks every tag. Works with or without a quoting tool, and never needs the drawing.

Before: follow-up happens when someone remembers, and lost quotes have no reason. After: every open quote has a next date and an owner, and you get a monthly count of why you win and lose.

RFQ intake that actually runs

If you pay for Paperless Parts, CloudNC Quote Agent or Uptool, we set up its email intake properly and train your team to use it. If you don't, AI sorts incoming email into RFQs and everything else, pulls out material, quantity, finish and due date, and drafts a reply asking for anything missing.

Before: RFQs sit in a shared inbox and nobody is sure who answered. After: each RFQ has an owner, missing information is requested the same day, and you know what never got quoted.

Won quote to job, plus a monthly report

When a quote is won, its details move into your job system where that system allows it, or into a checklist and folder where it doesn't. Once a month you get one page: RFQs in, quotes out, follow-ups sent, wins, losses and reasons.

Before: won work is retyped and quote numbers live in someone's head. After: one record from RFQ to job, and a monthly page the owner actually reads.

How it works

  1. 1

    Free conversation

You walk us through how an RFQ moves from email to a sent quote, and what tools you pay for. You get a short written list of where quotes leak and what you already own that could do more. No drawings needed.

  2. 2

    Count, then build

We help you count RFQs, quotes, replies and wins for a few weeks so there is a baseline. Then we set up follow-up first, test it on quotes you have already sent, and add intake or job-system hand-off only if the counts say it's worth it.

  3. 3

    Train and tune

We train your estimator and office staff to approve, edit and run it, write your shop's one-page rule sheet for customer drawings, and adjust timing and tags to how your customers actually buy.

Ways to work together

Each is scoped and quoted after the conversation.

Learn

Owners and estimators deciding whether an AI quoting tool is worth paying for

  • Vendor-neutral session on Paperless Parts, CloudNC Quote Agent and Uptool
  • A one-week trial plan using parts you have already quoted
  • Quote follow-up cadence, templates and tracker
  • A one-page rule sheet for customer drawings and AI

Build

Shops where quotes go quiet and nobody knows why

  • Follow-up drafts and reminders on every open quote
  • Won/lost reason tagging and a monthly summary
  • Email intake set up in your quoting tool, or inbox sorting if you have none
  • Won-quote hand-off to your job system where it allows
  • Training for your estimator and office staff

Run

Shops that want it kept working

  • Monthly review of follow-ups, misses and reasons
  • Timing and template adjustments
  • Fixes when tools, staff or customers change
  • A watch on what your quoting tool adds, so you stop paying for what it now does

Guardrails

AI drafts; your estimator approves every quote, price, lead time and message before it reaches a customer. Customer drawings stay in accounts your shop controls, and we check your customer agreements and each AI vendor's data terms before any file is used. Export-controlled work (ITAR, the International Traffic in Arms Regulations, or EAR, the Export Administration Regulations) and controlled unclassified information stay out of cloud AI tools unless your compliance lead approves the setup; CloudNC itself advises against uploading export-controlled data to Quote Agent. Follow-up and won/lost tracking run on quote numbers, dates and replies, so they work without the drawing.

Questions

Will this replace my estimator?

No. Your estimator still prices every job and approves every message. AI takes the follow-up drafting, reminders and record-keeping so the estimator spends time on quotes that can win.

We already pay for an AI quoting tool. Why add this?

Tools like Paperless Parts, CloudNC Quote Agent and Uptool now read RFQs and help price parts. On their public pages, none advertises chasing quotes that went quiet or recording why you lost. That is what we set up, and we connect it to your job system where that system allows, or check that the tool's own integration (Paperless Parts has one for JobBOSS) is actually in use. We will also tell you if your tool already does something you are paying us for.

What about customer drawings and ITAR work?

Follow-up and won/lost tracking don't need the drawing at all. Where drawings are involved, files stay in your accounts, we check NDAs and vendor data terms first, and export-controlled or controlled unclassified work stays out of cloud AI tools unless your compliance lead approves.

Do we need to buy a quoting tool first?

No. Many small shops get more from a follow-up routine on their existing email and a spreadsheet. If the counts show your estimator can't keep up with RFQs, we'll help you trial a tool on parts you've already quoted before you buy.

What software does it work with?

Gmail or Microsoft 365 email, spreadsheets, quoting tools such as Paperless Parts, CloudNC Quote Agent and Uptool, and job systems such as JobBOSS, E2 and ProShop. Where a system has no way to connect, we use a shared folder and a checklist rather than force it.
