Know what your ledger's AI did, and give clients notes worth reading

QuickBooks Online and Xero now ship their own AI agents. We help your firm decide what they may post, train your team to check them each week, and turn the time saved into monthly notes your clients can see.

Only 21% of accounting firms have an AI policy, and staff at firms that train save 28% more time than staff at firms that don't (vendor survey of 593 accounting professionals). Source: Karbon, State of AI in Accounting 2026 report (survey fielded Oct 2025)

What gets in the way

The agent is already posting

QuickBooks has rolled its AI agents out across QuickBooks Online, and Xero includes JAX on every US paid plan. Nobody at your firm decided what it may post on its own, and someone is quietly fixing its guesses every week.

Your software is changing under you

QuickBooks Online Accountant goes away in December 2026. Intuit Accountant Suite and a per-client Books Close add-on replace it, and Xero keeps adding features. Each change means retraining your team in the middle of a close.

Clients hear 'AI' and look at the fee

AI-only bookkeeping is advertised at $99 a month. When your work gets faster but your client sees the same reports, the fee gets harder to explain.

What we set up

Ledger AI rules and a weekly exception routine

We review which AI features are on in each QuickBooks Online or Xero plan you use, write a one-page rule sheet for what the agent may post alone and what a person must check, and set a fixed weekly routine for clearing what it flagged or guessed. Everything stays in the ledger you already use.

Agent posting under default settings, fixes found at month-end -> written rules and a short weekly check

Monthly client commentary drafts

After you close a client's books, the closed reports are compared with last month and last year. Lines that moved past your thresholds get a short plain-English description and, where the cause isn't in the data, a question for the client. Your bookkeeper edits and approves it before it goes in the monthly package.

Notes written by hand or skipped -> a draft to check for each client

Missing-documents requests

Open items without receipts or explanations are gathered per client into one short request your bookkeeper approves before it is sent. We first check whether your ledger's own document chasing is live yet, and only build where it isn't or where requests span email and a portal.

Scattered follow-up emails -> one approved list per client

How it works

  1. 1

    Free conversation

We ask how your month-end runs, which ledgers, plans and add-ons you use, and where the hours go. You get a short written read of what we'd change and what we'd leave alone.

  2. 2

Train your team and set the rules

A working session with your staff on the AI already in your ledger, including the Intuit Accountant Suite switch if you use QuickBooks. You leave with a one-page rule sheet and a weekly review checklist.

  3. 3

Build one workflow and keep it tuned

If it makes sense, we build the first workflow on five real clients over two closes. Your staff reviews every draft; we adjust thresholds and wording as the ledgers change.

Guardrails

A person at your firm approves anything the ledger agent posts in bulk or during close, and every message before it reaches a client; as one bookkeeping trainer puts it, 'trust, but verify' (School of Bookkeeping, as quoted by Carly, Jul 2026). Client books never go into personal or free chat accounts, only into the ledger's own AI or business accounts your firm has approved in writing. Commentary stays marked as a draft until your bookkeeper or certified public accountant (CPA) signs off, and your firm owns the numbers. Lunan is independent of Intuit and Xero and holds no accounting license or security certification.

Questions

QuickBooks and Xero already have AI. Why would we need you?

The ledgers supply the agents; they don't decide your firm's rules, train your staff or write anything for your clients. Even vendor write-ups say the agents need regular checking. We help where the features are switched on but nobody has set the rules, the review routine or a client-facing output. If that's already working for you, you may not need us.

Will this replace my staff?

It changes what they spend time on. The ledger agents already handle more of the coding. What we set up moves your people toward review, client questions and commentary. Whether you need fewer hours is your call; we don't promise headcount cuts.

Where does my clients' data go?

It stays in your ledger and in AI tools with business data-protection terms that your firm approves in writing. We map every place data moves before we build anything, and we never use personal chat accounts for client books.

Can you help with the switch to Intuit Accountant Suite?

Yes. QuickBooks Online Accountant is scheduled to be discontinued in December 2026. Our Learn session covers what changes, how to test Books Close on a few clients before paying for it, and how to set your review rules in the new setup. We're independent of Intuit, so we'll tell you if Books Close isn't worth it for your client count.

What software do you work with?

QuickBooks Online and Xero first, including their built-in AI agents, plus document tools such as Dext and Hubdoc if you use them. If you run something else, tell us on the free read.
